What should you include in a school laptop budget?
The price on the laptop quote may be only part of the bill. Before agreeing a purchase, ask what it will cost to get the equipment ready and keep it useful for staff and pupils.

Begin with what people need to do
Ask the teacher or team which activities the equipment must support. A laptop used for office work may need a different setup from one used with specialist classroom software.
Include access needs. Some colleagues or pupils may need a particular keyboard, screen or other support.
Give those details to IT and the supplier. They can recommend suitable equipment and explain why.
Ask what is included
A quote should make it clear whether it includes chargers, cases, a warranty, setup and delivery. You may also need software, staff guidance or an extra screen.
Ask whether the school already owns suitable accessories. Check that they will work with the proposed equipment rather than assuming every cable fits.
Request a written total for the agreed purchase. Separate one-off costs from charges that will return each month or year.
Allow time for setup
Equipment arriving at reception is not yet ready for a lesson. Someone may need to set it up, add school software and check it with the people using it.
For example, a laptop trolley might arrive during term. Ask when it can be prepared and where it will be kept safely while that happens.
Let staff know when they can expect to use it. A realistic date is more helpful than a promise based only on the delivery estimate.
Compare the whole purchase
A cheaper laptop may cost more overall if it needs extra accessories or a different support arrangement. A higher-priced option may also include things the school does not need.
Compare the same items across quotes. Ask IT about repairs and how long the equipment is likely to receive the updates it needs.
Start with one planned purchase. Add a short list of what is included, what is extra and who will get it ready. That gives the spending decision a firmer basis.
