  3. Analyze the Need: Why are staff using these tools? If 20 teachers are using a specific AI tool to grade quizzes, it clearly solves a real problem.
  4. Provide Secure Alternatives: Once the need is identified, procure a secure alternative. For example, if staff need a chatbot, provide Microsoft Copilot with commercial data protection enabled, ensuring prompts aren't used to train public models.
  5. Block the Unsafe, Promote the Safe: Once the secure alternative is deployed and staff are trained on it, you can safely block the consumer-grade tools at the firewall, knowing you haven't destroyed staff productivity.
  6. Continuous Education: Regularly remind staff why public AI models are a data risk, using real-world examples of data leakage.

  • The Punitive Response: Disciplining a teacher for using ChatGPT, which ensures no other teacher will ever admit to using it, driving the risk further underground.
  • Ignoring 'Embedded' AI: Focusing only on chatbots like ChatGPT, while ignoring the AI features now embedded in hundreds of existing educational apps (e.g., Quizlet, Canva) which also process data.
